Booking Terms and Conditions

Terms & Conditions – Booking and Travel in Nepal

EBC Treks and Expeditions Pvt. Ltd.

By booking a trekking, peak climbing, or mountaineering expedition with us, you agree to the following terms. Please read them carefully before making a reservation.

1. Booking & Payment

1.1 Trip Deposit

A non-refundable 10% deposit of the total trip cost is required within 7 days of booking to confirm your reservation.

1.2 Final Payment

Full payment is due 30 days prior to the trip departure.
Failure to pay on time may result in cancellation.

2. Cancellation Policy

All cancellations must be submitted in writing. Charges apply as follows:

  • 60+ days before departure: Loss of deposit
  • 30–59 days: 50% of total cost
  • 15–29 days: 75% of total cost
  • Less than 15 days: No refund

Travel insurance covering cancellation is strongly recommended.

3. Travel Insurance (Mandatory)

You must provide proof of valid comprehensive travel insurance before departure. It must include:

  • Emergency medical coverage
  • Evacuation (including helicopter rescue)
  • Trekking or climbing coverage up to 6,000m+ (as applicable)

4. Health & Fitness

Participants must be in good physical condition and disclose any medical issues. We reserve the right to decline participation if safety is a concern.

5. Itinerary & Schedule Changes

Itineraries may change due to weather, natural disasters, strikes, or unforeseen events. We will arrange suitable alternatives, but no refunds are given for unused services.

6. Risk & Liability

Adventure activities involve inherent risks. We are not liable for:

  • Injury, illness, or death
  • Loss or damage to personal property
  • Delays or service issues caused by third parties (e.g. airlines, hotels)

By booking, you accept these risks and agree to travel at your own responsibility.

7. Force Majeure

We are not responsible for trip disruption due to:

  • Natural disasters
  • War or political unrest
  • Pandemics or government restrictions
  • Transport strikes or delays

No refunds or compensation will be provided in such cases.

8. Travel Documentation

You are responsible for obtaining valid passports, visas, and required permits. We are not liable for issues arising from incomplete or incorrect documentation.

9. Complaints

Please raise any issues with your guide or leader during the trip so we can assist. Complaints made after the trip may not be considered.
